At Hunter Valley Resort + Farm in Pokolbin, we build structured large-group programs across our 100-acre property using activity rotations, multiple experience zones, dining, hospitality and indoor and outdoor spaces.
Large Group Logistics
How do you handle 300 people?
We don't try to put 300 people through one activity at once.
Large groups are divided into smaller rotations that move through different experiences across the property. Delegates can rotate through wine, farm, adventure and team activities before coming back together for lunch, dinner or another whole-group component.
For larger programs, dining and activities can also be staggered. This helps maintain flow, reduces waiting time and keeps delegates participating rather than standing around.

What happens when the group gets even bigger?
We can increase the number of rotations and stagger the program so different sections of the group are dining, participating and moving at different times.
The objective is the same: protect the guest experience while making the logistics manageable for the organiser.
Programs are designed around the actual group rather than forcing hundreds of delegates into a standard activity timetable.

Dining can become the moment when all of the activity rotations come back together.
Our event capacity extends to approximately 300 guests for dinner and 400 for cocktail-style events, with indoor and outdoor spaces available across the property.
Depending on the size and structure of the program, dining can also be staggered between sections of a larger group to keep the overall itinerary moving.
Offsite Conference Experiences
Your conference is staying somewhere else? Bring the experience to the Farm.
Your delegates do not need to be staying at Hunter Valley Resort + Farm to use the property for a large incentive day, group activity, lunch, dinner or offsite experience.
If your accommodation is already arranged elsewhere in the Hunter Valley, we can work with your program to create the activity, dining or social component here at the Farm.
Residential Programs
Need accommodation as well?
Hunter Valley Resort + Farm has 35 rooms across five accommodation styles, with another 38 rooms at adjacent Tuscany Estate.
Together, the neighbouring properties provide a 73-room accommodation precinct.
For incentive groups larger than the accommodation capacity, delegates can stay elsewhere in the Hunter Valley and use the Farm as the experience, dining or offsite component of the program.
